Administrative Coordinator for Workshop “Scholarship in Sound and Image” 

Term position: March 2026 -  July 2026 

Average weekly hours: 3 hours per week except during peak period from Mid-May to Mid-June when the average weekly hours can go up to 8  

Estimated total hours: 65 

This is considered a part-time, hourly, non-benefits eligible position. The minimum starting rate for the position is $24.47 per hour.

Core Responsibilities:

  • Process invoices for 16 US and international workshop participants and 2 guest faculty 
  • Confirm travel itineraries for workshop participants and guest speakers 
  • Manage limited engagement agreements for guest speakers/ mentors (incl. IC worksheet, tax documents, process invoices in Oracle) 
  • Support with onboarding/ orienting the student employee who assists the workshop 
  • Coordinate on-campus housing for participants and faculty with Language School administration 
  • Events management: room reservations, welcome dinner, catering  
  • Make arrangements for meals with Dining department 
  • Van rental 
Requirements
  • Solid experience with Middlebury’s administrative processes and systems 
  • Familiar with finance component of Oracle (invoicing, bill pay) and Banner 
  • Ideally, experience as academic department coordinator 
  • Detail oriented, focus on quality control and time management 
  • Excellent communication skills, including with international constituents from diverse cultural backgrounds
